This position includes a dual role in integrated library system support and library program support.

In the role of "Integrated Library System support--Certified Alma Administrator"

  • Share responsibilities for managing and configuring the Ex Libris Alma library management system, including user management, resource acquisition, cataloging, circulation, and reporting, allowing the ability to make system-wide changes and ensure smooth library operations within the Alma platform. 

Key responsibilities related to ILS support include but limited to:

  • System configuration:  Managing Alma settings, workflows, and configurations across all modules like acquisitions, cataloging, circulation, and resource sharing. 
  • User administration:  Creating and managing user accounts, access levels, and permissions for library staff and patrons. 
  • Data management:  Importing, exporting, and maintaining data integrity within the Alma system. 
  • Troubleshooting:  Identifying and resolving issues related to Alma functionality and user errors. 
  • Reporting and analytics:  Generating reports on library usage, resource access, and circulation statistics. 
    Training and support:  Providing training to library staff on Alma features and functionalities. 
  • Vendor communication:  Collaborating with Ex Libris support teams to address system updates and technical issues. 

Within the area of “Library Program Support”:

  • Participate on the team using strong interpersonal and communication skills to support the operations and collaboration between multiple libraries within the Library Program, facilitating resource sharing, data management, and coordinated initiatives to optimize access to information for patrons across participating libraries, often requiring strong technical skills and knowledge of library systems to manage the network effectively. 

Key responsibilities related to Library Program Support include:

  • Library Program Support:  Support the development and implementation of library program policies, procedures, and standards for data sharing, cataloging, and resource access. Supporting the technical infrastructure of the library program, including database management systems and online platforms. Monitoring network performance and identifying areas for improvement.
  • Resource Sharing:  Facilitating the sharing of physical and digital library materials across participating libraries through a union catalog. Coordinating interlibrary loan processes and ensuring efficient delivery of requested materials.
  • Negotiating resource sharing agreements with other library networks.
  • Collaboration and Training:  Providing training to library staff on library program functionalities and best practices for resource sharing. Building and maintaining relationships with library directors and staff across the program to foster cooperation and collaboration. Supporting the federal program managers in convening meetings and workshops to discuss program initiatives and address challenges.
  • Data Management: Ensuring data quality and consistency across the library program through data validation and cleansing processes.  Supporting management of the program’s metadata standards and ensuring compliance with industry best practices.  Developing and maintaining data reporting mechanisms to track network usage and resource access.
  • Technology Expertise:  Staying updated on emerging library technologies and evaluating potential applications for the library program.  Managing and troubleshooting technical issues related to program systems and platforms.
  • Collaborating with IT professionals to implement new program functionalities. 


Requirements

  • Bachelor’s degree in library science, information science or computer science required and seven (7) years of experience or a Master's degree in one of the above and four (4) years of experience; ability to obtain Alma Administration Certification within 90 days of employment is required
  • Extensive experience with Alma.
    Alma Administration Certification: A recognized certification from Ex Libris demonstrating expertise in Alma administration. (Prior experience with Alma required for consideration and subsequent formal certification after onboarding required for retention of position.)
  • Extensive knowledge of library management systems and cataloging standards.
  • Expertise in data management and analysis.
  • Strong technical skills and understanding of network infrastructure.
  • Excellent communication and interpersonal skills to build relationships with library staff across the EPA library key personnel/point of contacts.
  • Proven project management skills to oversee complex initiatives. 
  • Technical skills: Oracle database and ColdFusion programming language; Strong understanding of database management, system configuration, and troubleshooting techniques.  Experience with Oracle database administration, Java, JavaScript, Python and other data management and analysis applications.
  • Problem-solving abilities: Capability to analyze complex issues, identify root causes, and implement effective solutions.
