Position Description:
The Lemieux Library and McGoldrick Learning Commons is seeking a service-oriented individual to assist in ensuring the smooth day-to-day workflow of acquisitions and interlibrary loan. Reporting to the Director of Resource Acquisitions and Management, this individual will be responsible for the firm order purchasing and invoicing of materials for the library's physical and electronic collections as well as the day-to-day responsibility of borrowing and lending of interlibrary loan (ILL) materials. This position consolidates two key functional areas of Resource Acquisitions and Management (RAM) to streamline the processes of acquiring resources in support of curriculum, research, and learning. The combined responsibilities will allow for more efficient workflows and decision making to better respond and prioritize purchasing and/or borrowing based on faculty and student needs as well as identify and address potential gaps in the library collection. As a member of RAM this position will work in collaboration with other RAM staff, Library Faculty, and various library departments to efficiently acquire and deliver resources to student, faculty and staff in support of learning, teaching, and research.
Essential Functions:
Acquisitions (50%)Orders and receives physical and electronic firm orders in support of curriculum and research using the Ex Libris Alma module.
- Verifies all order requests in Alma to check for duplicate orders, formats, and title availability; communicates to Library Faculty on any changes or problems with order requests.
- Places orders using GOBI collection management system or direct with publishers/distributors for rush or out-of-print resources.
- Applies working knowledge of local and consortium cataloging policies and workflow to assess, export, or create bibliographic data in Alma for order record processing.
- Creates and maintains all order records in Alma noting any special receiving instructions for cataloging and processing.
- Manages vendor records in Alma and corresponds with vendors to resolve issues with shipments, invoices, or account information.
- Receives materials and processes invoices according to local procedures in Alma and Seattle University's procurement (SUProcure) system.
- Reconciles firm order invoices between Alma, SUProcure, and Seattle University's Accounts Payable department to identify and resolve invoicing or payment discrepancies.
- Use Alma Analytics to generate and maintain reports on order and budget activities.Interlibrary Loan (ILL) (50%)
- Processes and tracks interlibrary loan borrowing requests received from Seattle University faculty and students and lending requests from other libraries, using ILLiad, OCLC WorldCat, and Alma.
- Verifies citation and resource availability using library's Primo catalog and online databases; determines appropriate method and format for fulfilment including borrowing, chapter scanning, purchase, and document delivery.
- Determines if borrowing and lending requests comply with internal guidelines, Copyright Law, Fair Use Guidelines, and CONTU Guidelines.
- Leads the library's "Article and Book Chapter Scanning" service via ILLIad requests utilizing OPUS scanning software and appropriate scanning standards. Assists with scanning chapters needed for Electronic Course Reserves
- Monitors the Orbis Cascade Alliance consortium initiatives and opportunities to facilitate and implement Controlled Digital Lending (CDL)
- Collaborates with Director of RAM to resolve interlibrary loan borrowing and lending issues including overdue, lost, or damaged resources.
- Recommends customization of ILLiad resource sharing management software to automate routine interlibrary loan functions. Creates and updates ILL training documentation.
- Collaborates with the Library Specialist - Patron Accounts, Billing, and Analytics, for the billing of lost interlibrary-loan items.
- Uses Illiad Reports, Alma Analytics, and Excel, to maintain accurate records and statistics for copyright compliance and interlibrary loan activity.
- Handles all interlibrary loan packaging for incoming and outgoing shipments of physical materials.
- Provides excellent customer service with internal and external users, and other libraries to resolve problems concerning requests, renewals, delivery, and overdues, as well as interlibrary loan policies and copyright.
- Participates in the hiring, training, and supervision of 1-2 student employees.
- Marginal job functions:
- Accepts and sorts incoming mail and packages from Campus Mailing Services for the Library and Learning Commons.
- Participates in and supports department, library, and team-wide initiatives and assists in developing and achieving established goals.
- Attends staff meetings, participates in seminars and training as needed to keep current with university initiatives and library trends.
- Other duties as assigned.Work Schedule:
This position works Monday - Friday 8:00 am- 4:30 pm. To serve the academic community, the library is open evenings and weekends. Library staff may be required to work a full or partial shift to maintain library service and building hours.
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months.
This may mean that a hybrid-eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university's discretion.
Qualifications:
- Knowledge of current acquisition processes and workflow as well as familiarity with working in an integrated library system or procurement systems and/or knowledge of current trends in interlibrary loan and document delivery as well as familiarity with integrated library systems and interlibrary loan software.
- Excellent service-oriented interpersonal and communication skills with the ability to establish positive rapport with students, supervisors, library colleagues, vendors, and university staff.
- Bachelor's Degree, and 1 or more years' previous library experience, or an equivalent combination of education and work experience sufficient to successfully perform the essential job functions.

- Ability to lift, push, and pull 40 pounds.

- Two or more years' previous experience working in academic or public libraries, in acquisitions or interlibrary loan.
- Familiarity with Ex Libris' Alma/Primo Integrated Library System, ILLiad, Odyssey, or OCLC WorldShare Interlibrary Loan.
- Familiarity with digitization workflows, scanners, scanning tools, software, and editing digital image files (TIFF, PDF, JPEG) including use of Adobe Pro.
- Familiarity with searching for resources in library online databases and electronic journals.
- Familiarity with Alma Analytics, Oracle Analytics, OneDrive, Teams, and Sharepoint
- Experience working with or supporting diverse populations.

Compensation at a Glance:
Salary Range: $54,400 - $60,200
