Job Profile Title Administrative Coordinator

Job Description Summary The Special Assistant for Collections, a term-limited position lasting 18 months (or as funding permits), is responsible for processing a large, recently acquired collection of photographic materials, along with other collections, for use in research and scholarship, under the supervision of the Archives' Head Archivist. Arrange, describe, and rehouse collection. Complete collection finding aid using ArchivesSpace content management system. Responsible for assisting the Archives' (Director / Curator) in providing support for curricular activities of the Weitzman School of Design and other programs within the University, as well as programs and cultural institutions external to Penn, that make use of the Archives' collection. Work with the Archival staff to transfer objects between storage and teaching spaces. Monitoring and supervising collections study and use during group visits by students, faculty, and the public and, on occasion, lead tour programs in the absence of the curator. Other duties and responsibilities as assigned.

Job ResponsibilitiesArrangement, description, and cataloguing a newly acquired collection of photographic materials, along with other collections, for use in research, scholarship and exhibitions.

• Creates collection finding using ArchivesSpace content management system. Surveying existing collections for migration into ArchivesSpace.
• Assisting with curatorial work, research, object preparation, exhibition installations and loans. Assists with instructional programs.
• Collections management. Moving archival collections and assisting in making improvements to collections storage areas, object housings, and tracking systems.
• Class use management, coordination, and reporting. Schedule, monitor, and support collections use in teaching-related programs. Prepare reports on use for internal and external review.
• Perform additional duties as assigned.Qualifications

Required

• High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.
• Excellent written and oral communications skills.
• Strong attention to detail.Preferred
• Bachelor's Degree with major in architecture, history, or a related degree, and 1-2 years of working experience is preferred.
• Demonstrated interest and experience in archives and special collections.

Pay Range $20.45 - $25.00 Hourly Rate Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
