Manages the University Records Management (RM) Program and the documentation process of records disposition projects. Provides training to university staff and advises departments in records management policies and procedures. Guides university staff and faculty on records management best practices with up to date information on maintenance and disposition of all University records. Engages in outreach activities to promote the RM program campus wide.

  • Develops, implements, and maintains a records management policy and procedures in accordance with State of Florida requirements, Federal and other relevant legislation, regulations, and requirements and best practices methodologies to achieve long-term University goals.
  • Establishes a Records Liaisons program within major administrative units and works with the designated personnel to provide a comprehensive training program for University records liaisons and other University employees working with University records.
  • Works closely with the Office of the General Counsel, Information Technology Services, Internal Audit, Office of Compliance and Integrity, and various other units to ensure compliance with state, federal, and other regulatory agencies’ laws and rules.
  • Assists the University Archives with retention of historical records and state designated permanent records.
  • Establishes program guidelines for the management of records in electronic and digital formats. Partners with IT to develop best practices and procedures related to managing active electronic records storage and with the University Archivist and appropriate University entities to manage permanent records storage.
  • Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
  • Advises University offices regarding State of Florida electronic records policies.
  • Serves as liaison to the Division of Library and Information Services of the Department of State as required by Florida Statute.
  • Serves as designated Records Management Liaison Officer for the University and submits the University’s Annual Compliance Statement to FL DOS.
  • Serves as Retention Policy Manager (RPM) Approver.
  • Coordinates IT requests for Records Management website (Drupal) updates.
  • Manages supply budget for Special Collections and University Archives.

Education/Qualifications:

Education

  • Bachelor's degree in a related field and four (4) years of experience in compliance, finance, audit, law or closely-related field.

Qualifications

  • Knowledge of modern principles and procedures of records management.
  • Knowledge of state and federal laws, rules and regulations pertaining to and affecting the maintenance and retention of records, including public records.
  • Experience with emerging technologies, particularly pertaining to electronic records.
