Reporting to the University Archivist (UA) and working in close coordination with the Harvard University Archives (HUA) leadership team, the Associate University Archivist for Content Management and Access (AUACMA) will help create a strategic vision and provide leadership in the large scale and enterprise-wide transition from a paper-based to digital-first orientation for proper management and stewardship of Harvard's institutional records and related content.

Working closely with the University Archivist, the Associate University Archivist for Content Management and Access (AUACMA) will lead the development and implementation of a digital-first program for permanent and historically significant University content and related materials. The AUACMA will work with a variety of University stakeholders in University administration, Information Technology, and the Harvard Library to develop and implement a unified program of policies, pathways and workflows to support intake and preliminary assessment of both digitized analog content and born digital materials transferred to the Harvard University Archives from University entities or acquired from external sources.

The AUACMA will work toward the improvement of functions of the Harvard Library and University recordkeeping systems, particularly in accommodating necessary requirements for handling and providing mediated access to confidential, high-risk, and sensitive information in University records, personal archives, organizational records and other content with the goal of balancing the needs of University administrative research, business continuity, legal compliance, with those of faculty, students, and researchers using the Archives for scholarship and research.Position Description

Serve as a member of the HUA's leadership team, shares responsibility for planning, resource allocation, organizational development, and strategies for meeting the needs of the HUA's mandate

Lead the development and implementation of a university-wide "digital first" program for stewarding and accessing Harvard's vital and historically significant born-digital records, content and related materials.

Collaborate with a wide variety of stakeholders to create and implement policies for digital record migration and long-term access.

Build and supervise a team of staff and network of liaisons to coordinate and implement initiatives, workflows and policies to shift from paper to digital record management.

Align and translate University business needs with system requirements and infrastructure to appropriately and securely manage, steward and provide access to digital records.

Provide leadership in information management and project coordination to manage records stewardship and access workflows effectively.

Develop policies for managing mediated access to sensitive or confidential archived digital content in compliance with laws like FERPA and HIPAA.

Utilize information assurance frameworks and risk management planning structures to ensure information security and assist with contracts to meet records policies.

Create and implement educational programs to improve the Harvard community's digital records skills and apply them in daily work.

May coordinate or manage Harvard Library-wide initiatives or projects that center on transitioning to a digital-first orientation for records stewardship and institutional archives.

Serve on Harvard Library and University committees, especially those related to digital records stewardship and access.

Ensure responsible financial management, tracking expenses, and following Harvard University's financial policies, procedures, and protocols. In partnership with HL Finance, ensure accountability and compliance with fiduciary requirements

Responsible for effective staff management, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment.

Engage in activities that promote inclusion and belonging in libraries and archives.

SUPERVISORY RESPONSIBLITIES:

Supervises dedicated staff working on digital content and management affiliated projects and programs.

May also supervise support staff, including part-time or temporary staff.Basic Qualifications

MLIS and/or an advanced degree in a related field.

At least 8 years relevant experience in managing, stewarding, and providing access to born digital archival records, scholarly output, research data and other content in a university, institutional, or corporate archives.

Minimum of 4 years of supervisory experience.Additional Qualifications and Skills

Proven experience managing large-scale and/or enterprise-wide projects and working effectively with diverse stakeholders.

Strong customer service focus and excellent interpersonal skills for engaging with a diverse community, including high-level administrators.

Preferred experience in developing access and stewardship processes or workflows for digital records and/or archival institutional content.

Familiarity with digital technologies, asset management, digital curation, metadata standards, and a willingness to further expertise in these areas.

Understanding of intellectual property issues related to archives and copyright in various media formats.

Commitment to professional development, including active participation in related educational programs.Physical Requirements

The person in this position needs to occasionally move about inside the library or other Harvard spaces to office machinery in closets, on/under desks, and/or other storage locations.Working Conditions

The position is based on site in Cambridge, Massachusetts. There may be the opportunity for a hybrid work model compliant with Harvard University policies.

Work location is responsive and subject to change based on business needs. Requests for flexibility will be considered consistent with Harvard University flexwork policies.

The work associated with this position is performed in a library/office setting.

May interact with materials that may contain dust, mold, or other contaminants.

At times may work in basements, attics, warehouses, and other records storage areas.

At times will need to travel locally or more broadly.Additional Information

Typically, a new hire can expect a starting salary somewhere in the lower part of the range. The amount will vary based on the position and the candidate's relevant experience. Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only).Benefits
