Position Title: Public Services Manager

Reports to: Public Services Librarian; Assistant Director of Libraries

Supervises: Library Student Assistants (Work-Study Students); Public Services Assistants as needed

Primary function: The Public Services manager will be responsible for supporting, coordinating, and managing the student employees and the daily functions of the Circulation Desk.

Required Qualifications:

Education: Earned bachelor's degree in education or a related field.

Experience:

Minimum Qualifications: Minimum two years of experience in work with direct patron contact. Demonstrated ability to work collaboratively and build positive relationships. The ability to communicate effectively, listen well, and respond to patron needs. The ability to manage multiple competing priorities and tasks.

Preferred Qualifications: Two years or more of library experience. Experience with electronic databases and integrated library systems, specifically EBSCO, WorldShare, and FOLIO. Experience using typical office equipment (copiers, phones) and technology (MS Office, Excel, Teams). Ability to adapt to changing technology. Previous experience supervising full-time or part-time staff.

Essential duties:

  1. Assist Library Patrons with circulation and reference services, utilizing library resources.
  2. Oversee and manage the Library Student Employee program within the Library.
    1. Hiring Process of posting and managing open positions on Handshake, reviewing applicants, scheduling, and conducting student interviews, evaluating candidates, and offering positions.
    2. Administrative tasks of the hiring process, such as Request to Hire forms.
    3. Provide list of hires to Assistant Director to ensure proper permissions within FOLIO.
    4. Conduct all training and orientation of the Library Student Assistants, including orientation prior to the start of the semester, as well as on-the-job training.
    5. Conduct all assessment and evaluations of student assistants.
    6. Continuous review and updating of the Library Student Assistant Policy and Procedures Manual in accordance with the general Library Policies and Procedures from the Director and Assistant Director.
  3. Ensure the accurate completion and timely submission of student timesheets to the Career Center.
  4. Responsible for the overall management of the daily functions of the Circulation Desk.
    1. Student schedules, Circulation Desk Schedules, Shelf-reading, and shelving books, processing page requests and ensuring students conduct mail runs.
    2. Ensure timely return of materials to the Library.
    3. Maintain organization of all Library materials utilizing the Library of Congress Classification System.
    4. Ensure Reserve Items are entered into the system in an accurate and timely manner so students can access them for their courses.
    5. Manage Guest Borrowers, accurately corresponding with them when their card is to expir
  5. Management of the Thesis Collection within the Library
    1. Collecting theses from students
    2. Cataloging theses in FOLIO
    3. Shelving and managing the organization of the Thesis Collection.
  6. Create bulletin board and other displays that showcase library items that coincide with a holiday or monthly theme.Other duties:
  7. Cover the Circulation Desk as needed when gaps in coverage occur, including but not limited to opening, closing, or weekend shifts.
  8. Must be comfortable answering minimal reference and directional questions from Library Patrons.
  9. Complete administrative tasks related to the department as requested.
  10. Enforce Library Policies and Procedures.
  11. Update the Community Bulletin Board, making sure flyers of events that have passed are removed.
  12. Serves on committees of the College as appointed or elected.
  13. Assist with special projects within the Library as assigned.Special challenges and environment:

Requires the ability to multi-task and handle interruptions. Must be able to perform essential duties in an environment that involves frequent interruptions. This position requires daily interaction with any member of the Saint Vincent Community (students, faculty, administrators, hourly employees of the College and Seminary, and members of the Monastery Community), as well as other patrons and Latrobe Community Members. Must be flexible with the ability to work some Saturdays.
