Manager, Library Collections Procurement and Processing

The University of Denver Libraries, comprised of the Main Library at the Anderson Academic Commons, a remote storage facility called the Hampden Center, and the Bonfils Stanton Music Library in the Newman Center, is a highly collaborative organization that serves a diverse population, ranging from our students, staff, and faculty to public and other academic patrons from the surrounding region. Position Summary

Reporting to the Collections & Content Management Librarian, the Manager of Library Collections Procurement and Processing position is responsible for hiring/training/supervising the staff and management of the workflow in the Library Collections Procurement and Processing unit, as well as deployment of the library collection funds through acquisitions policy and procedures. Represents this unit in organization-wide committees and task forces, etc. Works closely with other units and departments in the Libraries.

Essential Functions

• Train and supervise four full-time appointed staff, one part-time appointed staff with responsibilities in both procurement and processing workflows; manage all routine activities of daily operations; hold unit meetings; plan and implement procedures; organize unit workflow (20%)
• Manages and expends collection funding annually by exercising final control and approval of all payment processing of invoices/expenditures for library procurement; collaborates with Libraries faculty to coordinate allocating funds and the receipt, and accounting of ordered materials as well as donated materials; working with Library administration, ensures reconciliation of all funds with campus ledgers (20%)
• Produces financial reports from the library management system and special reports on acquisitions activities as requested by Libraries administration, selectors or other Libraries faculty (15%);
• Perform complex problem solving. Coordinate Procurement and Processing workflow with system-wide activities. Demonstrate mastery of acquisitions functions within the library management system, including coordination of system-related work with other units also using the same system components (20%).
• Process the acquisitions for licensed information products for students and scholars; incorporate feedback from other library stakeholders in preparing contracts and related documents for submission to the contract review process; fields correspondence from vendor and university staff involved in the review process as needed, and coordinates the recording of key license terms in Alma and the record management of fully executed agreements (15%).
• Actively participate in the organization, serving on committees and/or task forces as needed, and collaborates with other units and departments in the Libraries (10%).

Knowledge, Skills, and Abilities

• Strong budgeting skills; ability to maintain accurate and thorough statistics. Ability to use spreadsheets and other tools for budgeting, analysis, and reporting;
• Good judgment, problem-solving, and decision-making skills are needed to provide practical solutions to ensure accuracy in a detail-oriented environment. Must be able to work independently and collaboratively, using tact and excellent judgment. Analytical skills are required for decision-making. Must be able to analyze and organize work and set priorities.
• Because the library acquires materials in a variety of foreign languages, foreign language ability is an advantage; strong interpersonal and communication skills. Proficiency in the English language is needed. Must be able to communicate with diplomacy and tact, both in person and on the telephone.
• Ability to closely follow established procedures and perform work requiring considerable attention to detail; ability to use a library management system and PC; ability to maintain clerical records.
• Must be detail-oriented, with an extremely high accuracy rate in all work done and demonstrate a creative, service-oriented approach to problem solving.
• Participates in professional growth and development to enhance skills and knowledge of supervised staff.

Required Qualifications

• Bachelor's degree or equivalent combination of education and experience.
• Experience with academic library acquisitions procedures; excellent organizational and supervisory abilities, with at least 2 years of supervisory experience; flexibility and adaptability; ability to deal with deadlines and pressure.

Preferred Qualifications

• Experience with collection development and library budgets; experience with Ex Libris Alma Library Management System.

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Must be able to lift and move books; and move book trucks from one area to another.
2. Must be able to sustain long periods of time (4+ hours) working at a computer terminal.

Work Schedule

Monday - Friday, 8:00 a.m. - 4:30 p.m.

Salary Grade Number

The salary grade for the position is 10.

Salary Range

The salary range for this position is $60,000 - $65,000.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate's sex or any other protected status.
