Job Summary:

The Library Specialist is responsible for completing interlibrary loan requests by borrowing materials from or sending materials to other libraries.  This position also provides prompt, courteous and accurate circulation services to patrons in person, over the phone and by email. The Library Specialist is responsible for overseeing circulation and patron accounts, as well as managing all aspects of resource sharing through I-Share (CARLI) and ILDS for LHS-Rockford. This position provides IT support services to patrons and staff of the Library of the Health Sciences – Rockford (LHS-R) and maintains public and staff computers. 

Job Responsibilities:

Interlibrary Loan

  • Verifies citations and fills requests from ILLiad either by shipping books or scanning and sending articles electronically.  Troubleshoots requests with incomplete or incorrect citations.
  • Requests materials from LHS in Chicago, Peoria, out-of-state or public libraries using OCLC and Docline to fill patrons’ borrowing requests.
  • Provides articles as requested by faculty to complete Continuing Medical Education (CME) requirements.
  • Compiles and updates statistics related to borrowing and lending for quarterly and annual reporting.
  • Coordinates with LHS in Chicago to bill patrons with overdue materials.

Circulation

  • Assist patrons in person, on the phone and in email.
  • Use the automated circulation system to complete a variety of circulation transactions, including charging, renewing and discharging materials.
  • Maintain patron accounts by approving new patron registration forms, and updating or deleting accounts as needed. 
  • Manages and liaises LHS-Rockford’s resource sharing through I-Share (CARLI) and ILDS.   
  • Track materials both internally and through ILDS to identify and recover lost items. 
  • Provide reference services and instruct patrons in the use of library resources and systems, including informal instruction in the use of bibliographic tools.

IT Support

  • Perform system and software upgrades and installation for the public service computers, loaner laptops and staff computers in collaboration with the College of Medicine – Rockford IT and College of Pharmacy IT departments.
  • Collaborate with COMR-IT to install and maintain computers and imaged network resources and services in the computer lab. 
  • Maintain physical inventory of computers and equipment for audits.
  • Mange printing services for LHS-Rockford Patrons.
  • Help patrons troubleshoot technical issues.

Statistics/Reporting

  • Serve as point person to compile Library statistics on a monthly and annual basis. 
  • Submit annual statistics for external professional associations. 

Perform other duties and participate in special projects as assigned.

Minimum Qualifications

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

  1. High school diploma or equivalent.

  2. Any combination totaling two (2) years (24 months) from the following categories:

    1. work experience in a library or equivalent setting.

    2. college course work in any field as measured by the following conversion table

      • 30 semester hours equals one (1) year (12 months)

      • Associate’s Degree (60 semester hours) equals eighteen months (18 months)

      • 90 semester hours equals two (2) years (24 months)

      • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
