General Statement of Duties:

To assist in the preservation, management, and public access of information resources. Specifically, under general supervision, this individual is responsible for a variety of public service duties in various phases of library operations. This individual is responsible for interpreting policies and providing public service primarily in the Serials department. This job requires knowledge of library principles, practices and procedures. This position includes the exercising of judgment and discretion in performing library routines including giving technical advice and troubleshooting as well as determining methods necessary to accomplish duties and objectives. Additionally, this position will work with vendors regarding subscriptions and renewals of library resources. This individual is reliable, ethical, and has the ability to work independently as well as collaboratively to perform work as required, including working across library units to support access to and maintenance of print collections and electronic resources.

Essential Duties and Responsibilities:

80% This position assists the Ellender Memorial Library, through operating its Serials Department, in the provision and management of serial publications in print and electronic formats as well as electronic resources. Such assistance includes but is not limited to the following duties:

  • Opening the Serials department following established procedures
  • Processes journal, newspaper, and magazine publications according to Library procedures, including data entry into the digital library system
  • Attends to patrons' needs in a timely and courteous manner including but not limited to providing specialized research assistance, detailed information on library services, and instructing patrons in the use of library systems, print/electronic indexes, internet resources, etc.
  • Maintains working knowledge of integrated library systems in order to modify records and resolve complex problems related to the use of bibliographic records such as complicated serial title changes
  • Edits problematic bibliographic entries for online automated system using accepted library standards and procedures
  • Coordinates bindery or restoration and repair activities and solves bindery problems, and determines the appropriate style or alternative treatment of materials
  • Coordinates library mail in a timely manner: collects, dates, sorts, and distributes; returns erroneously delivered mail to the campus post office; insures that outgoing mail is delivered to the campus post office
  • Monitors and ensures accuracy and consistency of information in the Library's databases, catalog, and shelves as it pertains to our serials collection of periodicals (ex. Access to print and electronic journals, call numbers, serial volume numbers and years, newspaper check-in and archival storage).
  • Assess and shifts shelved print materials as necessary to facilitate ease of use for patrons
  • Claims issues from vendors that we have not received in a timely manner for all newspaper subscriptions
  • Completes special project work as assigned including online bibliographic record enhancement, clean up, or reclassification
  • Creates and maintains procedural documentation for departmental operations, digitization operations, output, projects, and processes; recommends and implements changes in library policies and procedures for optimal functioning of the Serials Department.

Minimum Experience Required

MINIMUM QUALIFICATIONS: Three years of experience in which clerical work was a major duty, two years of which must have been in clerical library work.

SUBSTITUTIONS: Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required general experience on the basis of six months of training for six months of experience.

Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for one year of the required general experience.

College training will substitute for the required general experience on the basis of 15 semester hours for six months of experience.

A baccalaureate degree will substitute for all of the required experience.

NOTE: Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.

NOTE: Any college hours or degree must be from an accredited college or university.
