The Circulation Supervisor assists patrons at the Circulation Desk and via telephone or email by performing procedures related to the circulation of materials and public services.
Minimum Skills and Qualifications
Two or more years of supervisory experience
Two or more years of professional library experience
Experience with integrated library systems (preferably SWAN), reference, and public services
Excellent communication skills, strong attention to detail, computer proficiency, a commitment to providing superior service, and the ability to handle multiple tasks in a busy environment
Excellent teamwork, project management, and conflict-resolution skills
Duties and Responsibilities:
Serving as the primary Circulation point person in the absence of the Library Manager.
Working strategically with the Library Manager to assess, propose, and implement improvements in Circulation workflows and procedures supporting public services.
Work with the Library Manager to address staff performance issues.
Supervise the cataloging, classification, and processing of all library materials in accordance with SWAN principles and practices.
Supervising the activities of Circulation staff during evening and weekend hours.
Manage interlibrary loan (ILL) operations efficiently.
Generate monthly circulation reports for review.
Prepare and manage SWAN reports as required.
Attend scheduled meetings and participate in training sessions as required.
Training Circulation Clerks.
Conduct annual performance reviews for assigned staff members.
Stay updated on overall library functions, ongoing projects, and goals.
Distribute weekly processing items to staff members as needed.
Coordinate various projects as assigned by management.
Coordinate and monitor the assignment workflow to ensure efficiency.
Performing all Circulation Desk duties, including but not limited to checking out and renewing Library materials, placing holds, collecting fines and fees, and responding to patron requests.
Help staff quickly address patron questions and concerns while effectively managing any conflicts that arise.
Order, stock, and keep an inventory of office supplies organized.
Order periodicals and track prices and expiration dates diligently.
Arrange for replacements of damaged items, including books and DVDs.
Identify and address cataloging errors promptly.
Open and process all incoming packages from Amazon and Demco, log receipts in the tracking system, and store supplies appropriately.
Inspect damaged circulation materials, such as books and equipment.
Maintain the performance and ensure the repair of circulation equipment.
Communicate library policies, procedures, and rules clearly to staff.
Adhering to all library policies and procedures.
- Providing essential assistance with library computer workstations, printers, and access to online resources.
Perform other related duties as assigned.
Represent the library positively at all times
Maintaining a strong commitment to diversity, equity, and inclusion in the workplace and public services.
Physical/Environmental Requirements Sitting: 60-70% Standing/Walking: 30-40% Lifting: Occasional to frequent lifting up to 30 lbs. Vision: Normal. Requires extended periods of work at computers.
