Ball State University Libraries is searching for a customer service and detail-oriented person to join our team as Business Support Services Supervisor. This position is responsible for planning and directing the daily operations of the Business Support Services unit. Facilitating user access to library services and spaces; account, administer, and safeguard all funds collected from public access, coin-operated machines; communicate facilities issues with Facilities Planning and Management; maintain knowledge of, adhere to, and implement policies and procedures regarding funds, public-use furniture, equipment, mail, and materials shipped and received. This position also plays a pivotal roll with internal asset tracking and space imaging through AutoCAD software. Position Function

Plan and direct the supervision for the library business support operations and staff, facilitating user access to library services and spaces; account, administer, and safeguard all funds collected from public access, coin-operated machines; communicate facilities issues with Facilities Planning and Management; maintain knowledge of, adhere to, and implement policies and procedures regarding funds, public-use furniture, equipment, mail, and materials shipped and received; maintain up-to-date inventory databases tracking University Libraries physical assets; support an inclusive, diverse, and collaborative work environment and service culture to advance the strategic direction of the University Libraries.

Minimum Education

Bachelor's degree from an accredited university by date of employment

Minimum Experience

At least two years of related experience; supervisory experience.

Minimum Other

Strong computer skills with Microsoft applications. Strong oral and written communication skills

Authorization to work in the US Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.

Preferred Education

Bachelor's degree in Business or related field.

Preferred Experience

Experience with building management, fund management and photocopy, microform, and duplicating equipment; experience with AutoCAD software.

Duties & Responsibilities

  • Ranking: 1 Plan and direct supervision for the library business support operations: includes fund management, support equipment, mail, materials receiving/shipping and facility problems.
  • Ranking: 2 Coordinate and communicate with Facilities Planning and Management personnel and outside maintenance firms on facility and custodial problems, involves regularly inspecting the entire facility for potential problems.
  • Ranking: 3 Manage inventory database and AutoCAD floor diagrams for public-use furniture and equipment; inspect and maintain public area set up to ensure accessibility and comfort of library guests.
  • Ranking: 4 Maintain and track facility work orders and move requests (B450) for Bracken Library and branches by monitoring progress through completion; follow up with Facilities as needed.
  • Ranking: 5 Create, implement, and oversee maintenance procedures and databases for physical property and chemical inventories in the University Libraries regarding asset classification and control, inventory, storage, receipt, and distribution, and MSDS chemical data sheets.
  • Ranking: 6 Account, administer and safeguard all funds relating to coin-op revenue, bill changers, and debit cards.
  • Ranking: 7 Assign and review work, orient and train staff, and make recommendations in all areas related to supervision, including but not limited to interviewing and selection, compensation, discipline, performance appraisal, and training and career development of the Business Support Services Assistants.
  • Ranking: 8 Assign and review work, orient and train student employees, and make recommendations as to interviewing and selection, performance appraisal, and discipline; manage student budget and prepare projections; prepare weekly schedule for student employees and arrange for substitutions.
  • Ranking: 9 Provide input, adhere and implement all library policies and procedures regarding funds, equipment, mail, materials received/shipped and facility problems.
  • Ranking: 10 Perform other related duties as assigned.
