Job Description:

Reporting to the University Librarian the Library Administrative Associate coordinates office functions for the library and staff, and handles record keeping functions related to library services and collections. The incumbent provides administrative support to the University Librarian and other library staff through documenting procedures, handling scheduling and correspondences, communicating facilities issues, and supporting event planning.

Major Responsibilities:

  • Coordinated record keeping for a variety of library functions.
  • Coordinates with staff across library to ensure payment of all invoices for information resources and services.
  • Coordinates ordering library office supplies and manages requisition and payment of invoices.
  • Coordinates with library student supervisors to manage student employee record keeping.
  • Works with library and university accounting staff to manage accounting records for the library, including end-of-year budget reconciliation and processing.
  • Coordinates food service, audio visual, university police, and facilities needs for library events.
  • Coordinates registration and payments for staff professional development.
  • Assists University Librarian with creation of reports and data generation, as needed.
  • Maintains clear records of procedures and practices in the library and stores them in a way that is accessible to all appropriate library staff.
  • Serves as a vendor contact for business functions of the library.
  • Participates in professional development opportunities to maintain up-to-date skills.
  • Handles other duties and tasks, as needed.

Requirements:

  • Enthusiasm for libraries, higher education, and lifelong learning.
  • Ability to communicate effectively both orally and in writing.
  • Adaptability to new technologies and process improvements.
  • Associates degree; or high school diploma with a minimum of 3 years experience in an Administrative Assistant position.
  • High level of comfort with standard office equipment, including personal computers, Microsoft Office Suite and interest in learning new tools.
  • Ability to work with a high level of accuracy and close attention to detail.
  • Ability to ask for assistance and work in a team-based environment.
  • Ability to be flexible, work effectively with a wide range of people, and maintain friendly and professional relationships with colleagues and students.

Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus
