Program Manager A ¿ Circulation Manager

SALARY: $50,328 - $56,880

LOCATION: Lynnwood, Washington

DESCRIPTION:

Under the direction of the Associate Dean of Library and Learning Resources, the Circulation Manager has overall leadership, responsibility, and accountability for the effective operation of the library¿s circulation services department.

This is a classified position reporting to the Associate Dean of Library and Learning Resources.

**RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:**Manage, supervise, and schedule circulation staff. Participate in day-to-day delivery of library circulation services. In collaboration with other library employees, develop and administer circulation policies and procedures. Create and generate reports and statistics in order to assess and improve circulation services.

  • Plan, organize, and manage the processes and operations of library circulation services including circulation, photocopier use, equipment checkout, library collection security, and stack maintenance. Serves as backup for interlibrary loan and reserves processes.
  • Direct, perform, monitor, and assess technical processes of circulation operations in the library¿s integrated library system (ILS), Alma.
  • Supervise and evaluate one full-time Classified Circulation/Reserves Lead, two Library and Archives Paraprofessionals, and work study circ/tech student assistants. Coordinate, schedule, and train library staff who work on the circulation desk.
  • Develop relevant professional learning opportunities. Develop training, policy, and services around antiracist library practices for circulation staff. Collaborate with library employees to do the in-depth work of creating an equitable, welcoming library where students, college employees, and community members of diverse backgrounds feel they belong.
  • Collaborate with key stakeholders to develop, administer, and assess circulation policies and procedures in accordance with the library¿s mission. Understand and apply the library¿s policies and procedures, while safeguarding confidential information.
  • Staff the circulation desk through regularly scheduled circulation desk shifts as well as serving as backup circulation staff as needed. Coordinate problem resolution for patron complaints and concerns regarding circulation services.
  • Train and advise two other campus departments on the usage of the ILS and circulation best practices. Carry out minor circulation functions at the request of other departments.
  • Participate in meetings to work on cross-departmental projects and contribute ideas about relevant resources, services, and policies.
  • Plan for alignment with and integration of circulation services in the library¿s overall public services.
  • Keep current on trends in circulation services. Evaluate existing workflows and services; recommend new and/or enhanced services to best meet the needs of rapidly changing campus and library environments.
  • Set strategic, realistic, and measurable goals designed to improve circulation services, and work to achieve these goals in a timely manner.
  • Maintain the functionality of the circulation, serials check-in, and reserves modules of the ILS.
  • Create and monitor patron records; update calendar in the ILS.
  • Monitor patron data loads in the ILS. Collaborate with the Systems and Collections Librarian to resolve errors. Prepare analytics reports about circulation and library gate counts.¿¿¿
  • Monitor work-study student funds and review and approve timesheets for direct reports.
  • Maintain inventory of circulation supplies and equipment.
  • Plan, prioritize, and forecast staffing needs and make recommendations to the associate dean.
  • Facilitate billing and collection of fines and fees for lost or damaged materials, in coordination with the college business office.
  • Monitor and adapt the department's physical space to ensure a safe and effective working environment.
  • Supervise shelf reading, materials reshelving, missing item searches, and retrieval of items to be placed on hold. Collaborate with technical services on cleaning, shifting, and labeling of stacks as needed.REQUIRED QUALIFICATIONS:
  • Functional and technical knowledge of library fulfillment functions. Three plus years of library experience.
  • Ability to work effectively in a team environment and communicate well with others.
  • Strong attention to detail.
  • Alma certification or willingness and ability to complete Alma Certification within six months of start date.(See Conditions of Employment section for additional requirements.)

PHYSICAL WORK ENVIRONMENT:

Work is typically performed in an office setting, and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Some tasks require lifting and moving of objects up to 30lbs. Excellent communication skills are essential. This includes the ability to speak clearly and fully comprehend written and spoken English and will include communication with people for whom English is not their first language. This also includes the ability to produce clearly written documents.

WORK SCHEDULE:

40 hours per week, 5 consecutive days, 9:00 am - 5:30 pm.

COMPENSATION:

Salary range 48. Beginning salary is $50,328 - $56,880 annually, with progressive increases to $67,716, plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 3 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).
