Description

Under direction, performs specialized technicallibrarydutiesby assistingemployeeswith theacquisition,maintenance, arrangement,cataloging,andinventoryoflibraryresources, materials,andequipment;understands, explains,andinterprets library policies, procedures,andrequirements; participatesin the planning and development of new policies and procedures; catalogs new materials; tracks the budget for procurement of books and e-books;and performs other related duties as assigned.

Supervision

Worksunder the direct supervision of thedepartment manager.

Doesnot directly or indirectly supervise other employees but may provide work direction tolower-level employees, temporary employees, and/or student workers.

Work Schedule This is a temporary substitute position on an as needed basis. Schedule will vary as needed for coverage.

Examples of Duties

ESSENTIAL DUTIESAND RESPONSIBILITIES: The following duties and responsibilities are typical of thoseperformed inthis classification.Performsspecialized technical librarydutiesbyassistingemployeeswith theacquisition, maintenance, arrangement,and catalogingof libraryresources, materials, and equipmentas well asthe organization and operation of circulation and inventory activities and projects.

  • Understands, explains,andinterpretslibrary policies, procedures,and requirementsandparticipatesin the planning and development ofnew policies and procedures.

  • Assistswith the acquisition of new library materials byadministeringprocurementprocesses;receives purchaserequests;identifiespotential sources andgathers pricing information;recommendsthe bestvendor/supplierandbudgetaccount to use; preparespurchasingdocuments and orders items as authorized.

  • Obtainscontinuation orders from vendors; assigns barcodes, updates holding records,and checks materials into the collectionusing thelibrary management system; works with vendors to resolve problems.

  • Catalogs,processes,maintains,and repairsmaterials; searches and retrieves preliminarymachine-readablecataloging (MARC)format records fromthe vendors' software,onlinecomputerlibrarycenter(OCLC),oranother bibliographic source; editslibrary systemrecordsandassigns classification numbersand barcodes, verifyingproper subject headings; prepares new materials for shelving.

  • Tracksthebudget for procurement of books and e-books.

  • Prepares requisitions for payment of vendor invoices;maintainsrecords of materialspurchasedand compiles monthly and annual reports of acquisition activities.

  • Regularly updates records of library holdings, including title changesandfrequencies of periodicals, journals, and monographs.

  • Catalogs, processes, and maintains backfiles of library donations.

  • Searches, monitors, and creates reports on all interlibrary loan (ILL) transactions andmaintainsrecords of ILL activity for the California State Library.

  • Claims missing, lost,andnot-receivedperiodicals, journals, and newspapers; designselectronicreports and publications describing library collections.

  • Compiles daily, monthly,andannual dataof all categories of circulating items as well as in-house circulationanddaily headcount.

  • Maintainslibraryinstruction records, including student attendance and faculty participation;assistsin preparingandmaintainingtheinventory of instructional materials.

  • Preparescorrespondenceand reports to vendors, libraries,and employeesregardingmaterials acquisitions and availability.

  • May provide work direction to lower-level employees,temporary employees, and/or student workers.

  • Performs other related duties as assigned.Minimum Qualifications

MINIMUMQUALIFICATIONS:

The education, training,and experience qualifications are considered likely to provide the required knowledge and abilities to perform the above essential duties.

Education and Experience Associate's degree or equivalent from an accredited college or university.

Three (3) yearsof libraryexperience, including circulation.

Licenses/Certifications/Other Requirements

  • None.Knowledge of:

  • Library of Congress subject headings.

  • Vendors and sources forprocuringbooks and related items for a library.

  • The Dewey Decimal Classification System(DDC)andAnglo-American Cataloging Rules (AACR2).

  • The use of MARC fields and tags.

  • Library recordkeeping and bookkeeping methods.

  • Generaltechnical library practices and procedures, including library terminology, bibliographic records, and procedures for processing, shelving, andmaintaininglibrary collections.

  • Computerized library management systems and online catalogs and databases.

  • Maintenance of standard office equipment.

  • Laws, regulations, standards, and/or requirements applicable to areas of assignment.

  • Clerical methods of data research, collection, compilation, organization, and reporting.

  • Methods of prioritizing, planning, and organizing work.

  • Standard office practices or procedures.

  • Standard office software and modern office equipment.

  • Standard formats for business correspondence and other communications.

  • Methods of filing information using alpha, numeric,and alphanumeric systems.

  • Correct use of the English language, including spelling, punctuation,and grammar.

  • Principles and practices of customer service.

  • Business arithmeticAbility to:

  • Classify and catalog library materials according to standard library systems and practices.

  • Use a databasemanagement system to input, retrieve, edit, and search data and to prepare a variety of reports.

  • Operate andmaintaina variety of office equipment including computers and printers/copiers.

  • Sort library materials using alpha, numeric, and alphanumeric systems.

  • Perform minor repairs on books.

  • Maintain and secure equipment and materials inventories.

  • Research, apply, and explain the laws, regulations,policiesand/or procedures applicable to areas of assignment.

  • Utilize standard office software (e.g., email, word processing, and spreadsheet software).

  • Maintain confidentiality of sensitive and/or protected information.

  • Prepare reports, correspondence, and other documents using standard business formats.

  • Maintain hard copy and electronic files and records.

  • Performbusinessarithmetic.

  • Prioritize work and complete assignmentsaccurately andwithin established deadlines.

  • Provide and obtain detailed information to/from others.

  • Provide customer service witha high levelof sensitivity,tactand patience.

  • Exercise reasonable judgment in performing job duties.

  • Perform and prioritize multiple tasks.

  • Communicate effectively, both orally and in writing.
