The Circulation and Reserves Services Supervisor is responsible for providing day-to-day supervision of the circulation/reserves units within the Access Services department. The Supervisor acts as the functional expert in overseeing and managing employees performing complex duties requiring point of contact decision making. The Supervisor is responsible for exercising judgment in interpreting existing guidelines to solve problems and optimize systems to support developing patron needs. The Supervisor is also responsible for developing and implementing policies at a unit level and for advising leadership on recommended guidelines and policies that affect the wider library. The Supervisor is responsible for the unit staff and student supervision, training, development and performance of the unit. Responsible for collaborating, setting goals, ensuring accountability and stewardship of the unit.

The full salary range for the Circulation and Reserves Services Supervisor is $59,000 - $103,400 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.

Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff.

Educational Requirements Bachelor's degree in related area and/or equivalent experience/training.Required

Experience Requirements 6 - 10 years of related experience. Required Previous supervisory/managerial experience. Preferred

Minimum Requirements Knowledge enabling the performance of a full range of specialized duties in a functional area or specialized subject matter field; advanced problem solving and decision-making ability. Effective supervisory and organizational leadership skills. Ability to accurately apply a wide variety of policies and procedures. Ability to effectively delegate and hold supervised staff accountable for successful completion of assignments. Ability to display initiative and remain flexible in a fast-paced and changing environment. Ability to establish and maintain professional working relationships. Ability to communicate effectively both verbally and in writing. Ability to proactively manage employee performance, establish goals for supervised staff and work continuously to promote achievement of the established goals. Ability to perform accurate, detailed work.

Preferred Qualifications Thorough knowledge of library data transformation techniques and software tools. Recommends new technology as needed. Familiarity with content management systems and web page development. Knowledge of and ability to effectively use an integrated library system (ILS). Familiarity with streaming technologies.

Key Responsibilities

Oversees staff performing, or personally performs, duties and assignments that involve a high degree of difficulty in subject and/or functional specialization.

  • Supervises Library employees that perform complex duties and responsibilities. Oversees the ALMA integrated library management system as the system expert responsible for the fulfillment module and the staff performing work within. As part of this responsibility, the position must research problems, provide suggestions, provide analytics to management, create reports, utilize system conditional statements, manage cross functional integration and oversee billing. Responsible for systems configurations within ALMA, system maintenance, patron letters, billing, paging and what customers see. Supervises employees that work in complex technical systems including analytics, streaming, integration and patron load management.30% As supervisor operates as the functional expert in the specialization, such as circulation and reserves, collection, reference, interlibrary services, cataloging, monographic processing, or serials processing.
  • Operates as the functional expert in circulation and reserves. Develops guidelines, policies and best practices within this area of functional expertise. Supervises those involved with circulation and reserves as well as the technically complex audio-visual streaming areas including class integration.15% Manages schedules to ensure adequate coverage for specialization(s).
  • Responsible for ensuring adequate coverage of all library open hours in multiple libraries to ensure optimal circulation and reserve coverage. Includes overall responsibility for scheduling of staff and students, training of staff and students and the communication required for maintenance of the integrated library system hours. Responsible for developing schedules, covering schedules, campus communication around faculty reserves, developing policies and other procedures for leadership and training staff and faculty on systems needed to support patron needs.15% Provides administration of the Circulation/Reserves services unit within the Access Services department. Provides vision and administers efficient and effective operations through engagement and strategic planning, team leadership, assessment, continuous improvement and reporting. Is responsible for handling patron issues that are escalated from staff members including difficult issues and complaints. Handles these issues using independence and tact and knows when to escalate issues to other managers. 15% Sets performance expectations, monitors performance, and recommends employee selection, corrective action, and dismissals.
  • Provides leadership to staff and fosters a motivating and engaging environment. Establishes goals for supervised staff and works continuously with them to promote achievement of established goals. Effectively delegates, empowers supervised staff to make independent decisions at appropriate operational levels and holds them accountable for successful completion of assignments.5% Recommends changes to unit policies, processes, and procedures.
  • Directly makes recommendations and supervises the projects and research to create recommendations, guidelines and other inter-department workflow changes to library senior leadership. Responsible for adapting library-wide procedures, operations and techniques as they relate to ALMA, safety and other related issues. Routinely resolves issues with campus and faculty, ensuring policies and procedures are updated to provide maximum academic content integrated into the learning management systems and to assist with a variety of patron issues and concerns.5% Leads billing team and provides technical guidance on billing policies and workflows. 5% Performs other duties as assigned. 5% Maintains knowledge of current industry trends and performs continuous assessment of innovative methodologies, technologies and approaches. Identifies opportunities for improvement and communicates them to library leadership. 5%
