The Adult Services & Circulation Manager oversees the smooth operation of all services for adults and the general public. Responsibilities include managing all Adult Services & Circulation processes and staff. This position is also cross-trained in Youth Services and may occasionally be required to cover the Youth Services desk. This is a full-time, 37.5-hour-per-week, non-exempt position. The Adult Services & Circulation Manager reports to the Library Director and functions as a building supervisor.

Duties and Responsibilities

Circulation

  • Organize and expedite circulation control of all library materials.

  • Oversee overdue and billing notices.

  • Coordinate with colleagues on inventory maintenance, process changes, and other team projects as needed.

  • Coordinate and oversee homebound delivery services.

  • Assist with and train staff on circulation desk duties and responsibilities.

Collection Development

  • Research and supervise the development and management of all adult collections, DVDs, periodicals, and the adult "library of things." Oversee the arrangement, shelving, and shifting of collections.

  • Oversee collection development by adult selectors, providing guidance and training as needed.

  • Explore, evaluate, and oversee database purchases and subscriptions for the Adult Services Department. Coordinate with our IT company to set up access or troubleshoot issues.

Management

  • Develop goals that align with the Library’s strategic objectives and mission for the Adult Services & Circulation department.

  • Interview and recommend candidates for Adult Services & Circulation positions.

  • Manage, train, schedule, motivate, coach, and evaluate Adult Services & Circulation staff.

  • Enforce Library policies and procedures and effectively convey them to the public and staff.

  • Implement Board-approved Library policies and safeguard confidential and restricted information.

  • Develop and implement benchmarks and training plans to ensure Adult Services & Circulation staff meet performance standards.

  • Inform the Library Director about personnel, services, projects, challenges, and successes in assigned areas of responsibility. Provide recommendations based on thorough analysis.

  • Prepare and manage an annual departmental budget. Ensure expenditures remain within Board-approved appropriations.

  • Prepare a monthly report for inclusion in the Board of Trustees packet.

  • Prepare and present statistical and narrative reports as required.

  • Collaborate with staff to maintain and enhance public relations efforts.

  • Actively participate in management and leadership team meetings.

Programming & Outreach

  • Collaborate with the Youth Services Manager on programming and outreach opportunities.

  • Act as a liaison between the Library and community agencies serving adults. Participate in community activities as requested.

  • Oversee the Adult Services programming budget and ensure the Adult Services Programmer coordinates schedules, displays, crafts, books, and other materials.

  • Attend and supervise events and programs as needed.

Technical Services

  • Classify and catalog Library materials purchased by the Adult Services Department.
  • Serve as an alternate PrairieCat representative for the Library.
  • Oversee and train staff on the processing and repair of Library materials purchased by the Adult Services Department.
  • Oversee interlibrary loan operations.

Other

  • Attends professional development workshops and trainings when possible.
  • Perform related duties as required and assigned.

Qualifications

  • Bachelor’s Degree from an accredited college or university 3-5 years’ managerial experience in a library or similar setting

  • Supervisory, interpersonal, public relations, problem-solving, and troubleshooting skills.
  • Decision-making and conflict resolution abilities.
  • Ability to identify and translate patrons' needs and interests into effective Library services and programs.
  • Competence in planning, organizing, and supervising Library services to meet the needs of the community.
  • Strong prioritization skills and the ability to use initiative and independent judgment.
  • Ability to relate positively and effectively to patrons of diverse ages and abilities.
  • Capacity to work independently and as part of a team.
  • Ability to manage multiple projects simultaneously.
  • Proficiency in Microsoft Office, email, social media, and web-based applications.
  • Knowledge of statistical record-keeping practices.
  • Must pass a background check.

While performing the duties of this job, the employee will intermittently stand, sit, and walk. The position requires talking and hearing. Specific vision requirements include close and distance vision and the ability to adjust focus. The position requires the ability to use hands to handle or feel equipment and objects and to reach with hands and arms. Occasional bending, stooping, and climbing are required. The employee must occasionally lift up to 25 pounds and push or pull up to 100 pounds.
