The Opportunity:

Join the University of Central Florida (UCF) Libraries as we seek a forward-thinking and service-oriented leader to direct our Access Services department: Administrative Operations Manager II, Access Services. As the leader of Access Services, you’ll play a crucial role in ensuring seamless access to the Libraries’ resources and spaces for our academic community.

Members of Access Services manage service desks in multiple locations: the John C. Hitt Library and the Curriculum Materials Center, located nearby and serves the College of Community Innovation and Education. This dedicated team provides cohesive, user-focused services in the circulation of materials and course reserves, management of study rooms, the safety and security of our facilities, and management of fines and bills. In the Hitt Library, you’ll also oversee the state-of-the-art Automated Retrieval Center (ARC), a high-density storage facility where library materials are kept and accessed by robotic systems to retrieve items on demand.

You’ll lead multiple projects that streamline processes to improve service quality across multiple service points, implement new technological solutions to improve user experiences, and support ongoing efforts to efficiently relocate materials across the Libraries. This position combines strategic leadership with hands-on innovation, ideal for a service-minded professional ready to make their mark in the amazing UCF Libraries.

Responsibilities:

  • Oversees the Access Services employees in the John C. Hitt Library and Curriculum Materials Center (CMC) and departmental daily operations which include circulation of materials, setting operating hours, and the resolution of complex user issues.
  • Administers overnight study during finals week each semester and oversees staffing arrangements with contracted security guards and UCF Police.
  • Ensures departmental compliance with necessary training related to library processes and mentors’ departmental staff through the professional development process.
  • Oversees the management of the CMC, the Hitt Library Access Services department, and Hitt’s Automated Retrieval Center (ARC).
  • Coordinates with the Libraries’ departmental leadership strategic space management of collections, long-term materials storage, and assessment of usage.
  • Liaises with library technology staff and UCF IT on maintaining ARC software and systems integrations, UCF’s Facilities on maintenance of the ARC hardware, and the Florida Virtual Campus (FLVC) on Alma, which is the Libraries’ cloud-based library services platform that connects with the ARC.
  • Oversees Access Services management of course reserves and curriculum support materials with teams in the Academic Engagement division and Document Delivery & Resource Sharing department.
  • Collects, reports, and analyzes statistics and user feedback and monitors emerging trends in circulation and access services to make data-driven decisions and ensure services remain current and innovative.
  • Develops and implements library-wide policies, procedures, and solutions to enhance service delivery and resource accessibility.
  • Serves on library and university committees, and project teams to advance university and library goals and objectives.
  • Oversees the employees who manage the in-person and online fines and bills process for late or damaged materials, and coordinates with campus partners on overrides.
  • Coordinates the management of the study room booking system.
  • Coordinates the management of the after-hours and weekend facilities request process in partnership with Libraries’ Administration as issues arise.
  • Oversees liaison activities with law enforcement and emergency services personnel as issues arise.

Education/Qualifications:

**Minimum Qualifications: **

Bachelor's or Master's degree and 4+ years of relevant experience with at least 1+ year(s) of leadership experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. 

Preferred Qualifications:

We welcome applicants with experience in any of the following areas:

  • Experience working in an academic or library-related setting.
  • 4+ years leadership experience. Extensive knowledge of library processes, particularly in circulation, course reserves, curriculum materials, and access services.
  • Strong knowledge of library service platforms (e.g., Ex Libris Alma).
  • Project management experience; ability to manage projects and coordinate multiple initiatives simultaneously.
  • Knowledge of current trends in academic libraries and higher education.
  • Strong customer service mindset with the ability to remain calm and composed in challenging or high-pressure situations.
